Most practices agree their associate deduction rules once. The hard part comes afterwards. Someone has to apply those rules to every associate, every month, and explain the figure when a question arrives.
This article covers how Clever Pay handles that work. It explains how rules are configured at practice and practitioner level, how a custom deduction links to your Xero accounts, and how the transaction ledger traces any deduction back to the bills behind it. It also walks through an example associate query.
It assumes the practice has already agreed what its deductions should be. Clever Pay applies and records those rules. It does not decide them.
Why deductions become difficult to manage in spreadsheets
A single deduction looks simple. A card processing charge comes off an associate’s pay, or a share of materials costs does. The difficulty comes from everything around it.
A group practice often has several associates on different terms. One carries a materials charge and another does not. Card fees and lab cost recoveries can be managed differently from one clinic to the next. Every rule has to reach the right transactions, for the right person, in the right month.
In a spreadsheet, that logic lives in formulas that someone rolls forward each period. Each month brings fresh exports. Someone copies figure across and hopes no formula has shifted. When something goes wrong, the error often stays hidden until an associate questions their statement.
At that point the practice has to explain the number, often by searching exports and bills by hand. Arun Mehra explains why this pattern keeps repeating across dental groups in Why associate pay still breaks every dental group. This article stays with the practical question. Once the rules are agreed, how do you apply them consistently and trace the figure later?
How deductions work inside Clever Pay
Clever Pay builds deductions in layers. Pay Rules holds the practice-wide deductions. Practitioner settings hold each associate’s individual percentages and adjustments. Custom deductions add the practice’s own charges, each linked to accounts in Xero. Behind every deduction sits a transaction ledger showing which payments or bills make up the total. Those totals flow into Associate Payouts and onto the associate’s pay statement.
Split, Card and Materials rules
The Pay Rules screen opens with three master cards. Split covers the revenue split allocation between practitioners. Card covers the deduction for card processing charges. Materials is a custom deduction linked to a specific Xero account.
Each card shows its transaction count and its total for the period. A toggle enables or disables the deduction, and a link opens the full ledger behind the figure.

Practitioner-specific pay rules
Opening a practitioner’s row shows Clinic Share, Associate Share and Materials, which are the private fee split percentages, plus an Adhoc Adj. field for a one-off manual adjustment in the current period.
Associates rarely share identical terms, so each associate’s rules sit in their own row. NHS practitioners also have UDA Rate and UDA Activity fields there, covered in our guide to managing NHS and UDA associate pay.
Clever Pay applies whichever percentages the practice enters. Choosing them is a decision for the practice and the associate.

Add a custom deduction
Some charges do not fit Split, Card, or Materials. A practice may recharge software costs, for example. Clever Pay manages these through custom deductions.
- Select + Add Deduction at the top right of Pay Rules.
- Name the deduction, for example Software License.
- Search for and select the matching accounts from your Xero chart of accounts.
- Select Add Deduction to save.
The account link tells Clever Pay which Xero transactions belong to the deduction, so the ledger fills from your accounts instead of manual entry. Once the deduction exists, the practice sets the rule that applies to each associate’s share.

“You have the freedom to add any item from your chart of accounts as a deduction from the associate’s share. You select the chart of accounts where the expense is recorded in Xero, set the rule, and the tool automatically pulls the relevant data from Xero and applies it.”

How to audit the transactions behind a deduction
A deduction figure on its own proves nothing. What matters is whether the practice can show how it was built.
Every master card links through to a transaction ledger. The Split Details ledger lists each allocated transaction with its date, clinician, reference number, payment method, description, and amount. The Materials ledger shows the linked Xero accounts, then the bills drawn from them, with invoice date, amount, contact, patient name, and recommended clinician.

“All the transactions from Xero under that chart of accounts are imported into Clever Practice. If tracking categories are enabled in Xero, the expense is allocated to the associate automatically. So, if an expense sits under a dentist in Xero, it lands under that associate in Clever Practice, and the split percentage is applied as per the rule you have set.”

Filter by clinician and payment method
Queries rarely concern every transaction. They concern one associate, or one type of payment. In Split Details, the Clinician and Payment Method filters narrow the list to exactly that.
Sort and reconcile the total
Column headers in the ledger are sortable, which helps when reconciling a specific figure. At the bottom, a Grand Total row adds up the transactions. That total should match the corresponding figure on the Pay Rules or Associate Payouts screen. In the example above, the nine Split transactions add up to £2,530.00, the same figure shown on the Split card.
That match is the audit trail in its simplest form. Source transactions lead to a ledger total, the ledger total matches the Pay Rules figure, and that figure feeds the final payout. If the numbers agree at each step, the practice can stand behind the result. If not, the break shows where to look.
“The data pulled from Dentally and Xero is the proof of what the associate is getting paid. The platform also shows exactly where the statements are coming from.”
Deepak Madolia, Clever Practice Product Manager
Example: an associate queries a deduction
The following example is hypothetical. Imagine an associate emails the practice manager after receiving their statement. The Materials deduction looks higher than expected, and they ask where it comes from.
The practice manager starts with the rule. The Materials card on Pay Rules shows the linked Xero account and the period total, and the associate’s row confirms their Materials percentage.
Next comes the ledger. Opening the Materials card shows the bills behind the figure. Filtering by clinician narrows the list to that associate’s entries, each with its invoice date, account, contact, and amount. The invoice itself opens from the line.
“If an associate questions a lab invoice accounted under their name, you simply go to the view icon, and the PDF invoice is ready to view on the tool itself. You don’t have to go back to Xero.”
Deepak Madolia, Clever Practice Product Manager
Then the total, which should match the Materials figure on Pay Rules and in Associate Payouts. Finally, the statement, where the same amount should appear under Other Deductions. The practice manager replies with the specific bills behind the charge.
The query ends with evidence instead of a recalculation. Whether the charge is fair remains a question for the practice and the associate. The ledger settles what the number is made of. If a bill needs amending, the practice changes it in Xero, and the change carries through to Clever Pay.
Carry deduction rules into the next period
Deduction rules do not need rebuilding each month. Copy Deduction Rules, at the top right of Pay Rules, carries the existing setup into a new accounting period. Clever Pay skips the copy for any period that already has deduction rules, so running it twice is safe.
Rules stay consistent between periods because they are copied, not retyped.
How deductions appear on the associate statement
Configured deductions carry through to the associate’s branded pay statement. Card and Materials charges appear under Other Deductions, below the Private Income subtotal. A final Net Payable to Associate figure combines everything.
The associate sees each deduction as its own line instead of one unexplained reduction. That gives both sides a clear reference when a question arises.

What Clever Pay does not decide about deductions
Clever Pay applies the deduction rules a practice has already agreed. It does not decide whether a deduction should be made, what percentage is appropriate, what order deductions apply in, or what an associate’s contract entitles them to. Those decisions sit with the practice, its associates, and its advisers. For the calculation and contractual side of associate pay, read Samera’s guide, How to Calculate Dental Associate Pay.
FAQs
Can different associates have different deduction rules? Yes. Clinic Share, Associate Share, Materials and Adhoc Adj. are set for each practitioner individually.
Can I add deductions beyond Split, Card, and Materials? Yes. Use Add Deduction to name a custom deduction and link it to accounts from your Xero chart of accounts.
Can I see the transactions behind a deduction? Yes. Each deduction card links to a transaction ledger. You can filter, sort, and check the Grand Total against the Pay Rules figure.
Do I need to set up deduction rules again each month? No. Copy Deduction Rules carries your existing setup into a new accounting period.
